Can I share knowledge with my team without sharing my memory?
Yes. Share selected documents and working instructions in a space with permissions. Keep personal memories separate. Notion Memories are private per user; sharing a Project in ChatGPT or Claude follows different rules.
Separate three things before inviting the team
| What you share | Example | What to review |
|---|---|---|
| Documents | Product decisions, documentation and sources. | Who can read, download and edit. |
| Instructions or skills | How to write a proposal or check a delivery. | Who can change the rules and what data they contain. |
| Personal memory | Preferences, conversations and individual context. | What should remain private and which extract you want to share. |
Prepare a small common knowledge base
Select what the team needs
Create a reviewed copy with current decisions, reasons and source links. Avoid uploading your entire personal archive. Remove private comments and unnecessary information about others.
Publish rules separately
Describe how to use the documents: cite sources, flag uncertainty and check which decision is current. A skill can describe a procedure without containing personal memories. Review its contents before distributing it.
Choose permissions and check them
Decide who can consult and who can modify. Test which documents another authorized account can open. Review the member list and remove access when it is no longer needed.
Check the separation
Request an answer grounded in shared material and review its sources. Use fictional data for an access test. Do not use real private information as a decoy. An answer that omits a private note does not by itself demonstrate correct permissions.
What this means in each product
- Notion: its help says Memories are private per user and the agent does not mix them with other users’ Memories. They do not grant new content access. The October 19, 2026 release announced memory sync in Notion MCP; skills through MCP were still described as coming later in that release. Syncing memory between tools does not mean publishing it to the whole team.
- ChatGPT: a shared Project groups chats, files and instructions. It automatically uses project-only memory and cannot access each member’s memories or outside context. Members can view project chats and download files. Material you copy there becomes part of the shared content.
- Claude: project sharing is documented for Team and Enterprise, subject to administrator controls. Invited members can consult knowledge and instructions; editing permission lets them change these. Chats remain private unless explicitly shared. Here “public” means visible within the organization, not across the internet.
Shared Projects in ChatGPT and Claude do not give chats the same visibility. Review your plan’s conditions and organization controls before moving conversations.
A minimal team agreement
“This space contains knowledge selected for the team. Use only documents authorized for this task. Cite the source and date of decisions. Propose changes for review. Do not copy personal context here unless its owner chooses to share it.”
This agreement guides work; actual permissions must be configured in the tool. More: notes, instructions and read-only access.
Where MemoryBrain fits
MemoryBrain lets two people connect their brains and share using a code. This is a new feature from November 2026. We do not present it as a replacement for an enterprise knowledge base with verified permissions. Select what you want to share first and check actual access.
Frequently asked questions
Are Notion Memories shared with my colleagues?
Notion’s help says they are private per user and are not mixed with other users’ Memories. Sharing documents is a separate operation.
Are my chats visible when I share a Project?
In ChatGPT, members can view shared Project chats. In Claude, chats are not shared by default. Check the product and its permissions.
Does sharing a skill require sharing my notes?
You can write a procedure without including personal notes. Review its content and required data sources before sharing it.
